Private Hire – Terms & Conditions

1. The Contract

• Any quote will be confirmed in writing, detailing the total cost for the agreed services including delivery charges.
• A booking is not confirmed until Metropolitan Bushey Sports Club T/A Metropolitan Bushey has received the signed agreement and the deposit (unless otherwise agreed in writing).
• Until confirmed, the booking is treated as an enquiry only, and Metropolitan Bushey Sports Club T/A Metropolitan Bushey may accept an alternative booking without notice.
• Once The Contract is executed, both parties agree to be bound by these terms and conditions.
• Any additional requirements beyond those agreed may incur extra charges.

2. Prices & Payment

1. Prices are set out in the quotation and invoices.
2. A 100% non-refundable deposit is required upon booking, with full payment due 21 days prior to the hire unless otherwise agreed in writing.
3. Deposits are non-refundable except within the 7-day cancellation window (see “Your Right to Cancel”).
4. In the event of non-payment, Metropolitan Bushey Sports Club T/A Metropolitan Bushey reserves the right to cancel the booking.
5. Payments may be made by credit/debit card or bank transfer to the details provided.
6. Account customers must provide a valid Purchase Order reference.
7. No services will be provided until payment is authorised or a valid PO is supplied.
8. All prices include VAT at the current rate.
9. Metropolitan Bushey Sports Club T/A Metropolitan Bushey may update prices before processing an order; The Client will be notified if this affects the booking.
10. Late payments may incur interest at 8% above the Bank of England base rate and recovery costs.
11. All invoices must be paid in full without deduction. Queries must be raised immediately.

3. Charges for Additional Services

1. Additional charges apply for any extra services requested by The Client.
2. Any additional services requested on the day must be paid before leaving the venue.
3. Outside catering is not permitted unless agreed in advance and supported by required certificates.
4. Alcoholic or soft beverages may not be brought onto the premises unless agreed in advance. Corkage fees apply.

4. The Equipment

1. All equipment remains the property of Metropolitan Bushey Sports Club T/A Metropolitan Bushey .
2. Metropolitan Bushey Sports Club T/A Metropolitan Bushey may terminate the contract and repossess equipment if terms are breached.
3. Equipment must not be hired, re-hired, or sub-hired to third parties.
4. Substitutions may be made for similar equipment where necessary.
5. Equipment will be supplied in safe working order; defective items will be repaired or replaced where possible.
6. Metropolitan Bushey Sports Club T/A Metropolitan Bushey ’s liability for equipment failure is limited to a full refund.
7. Equipment must only be operated by authorised persons.
8. No alterations or repairs may be made by The Client.

5. Provision of External Services

1. Booking external services through Metropolitan Bushey Sports Club T/A Metropolitan Bushey forms part of The Contract.
2. External services are reserved exclusively for The Client once the agreement and deposit are received.
3. Cancellation fees apply (see “Terminating the Contract”).
4. Additional time beyond the agreed hire period is subject to availability and additional charges.
5. If an external service cannot attend due to unforeseen circumstances, Metropolitan Bushey Sports Club T/A Metropolitan Bushey will attempt to provide a suitable replacement.
6. Metropolitan Bushey Sports Club T/A Metropolitan Bushey ’s liability for non-attendance or total equipment failure is limited to a full refund.

6. The Client’s Responsibility

1. At the end of the event, The Client must dismantle and remove all equipment they have brought.
2. Final numbers and changes must be confirmed no later than two weeks prior to the event.
3. Use of smoke machines, confetti, or special effects must be approved in advance.
4. The Client is responsible for the conduct of all attendees.
5. Decorations or alterations must be agreed at least two weeks before the event.
6. Nothing may be pinned, taped, stapled, or fixed to walls or furniture.
7. External contractors must provide PLI and PAT certificates at least two weeks prior unless otherwise agreed.
8. Metropolitan Bushey Sports Club T/A Metropolitan Bushey may terminate the event without refund if staff are subjected to abuse or if safety is compromised.

7. Terminating the Contract

Client Cancellation

1. Cancellations must be made in writing by the person who made the booking.
2. Fees apply as follows:

Banqueting, Outdoor Events, Parties, Weddings

• Less than 30 days: 100% of the agreed fee
• 30–90 days: 75%
• 90–180 days: 50%
• 180+ days: Deposit retained

Conferences & Meetings

• Less than 30 days: 100%
• 30–90 days: 50%
• 90+ days: Deposit retained

Sporting Pitch Rental

• Less than 14 days: 100%
• Within 30 days: 50%
• 30–60 days: 25%
• 60+ days: Deposit retained

Company Termination

1. Metropolitan Bushey Sports Club T/A Metropolitan Bushey may terminate immediately if The Client breaches the contract, becomes insolvent, or risks the venue/equipment.
2. Upon termination, The Client must pay:
   a. All outstanding sums
   b. All costs incurred due to breach
   c. Agreed damages equal to remaining rental fees (minus 3% accelerated payment discount)

8. Right to Cancel

1. The Client may cancel within 7 days of signing for a full refund of the deposit.
2. Cancellations after this period may result in the deposit being retained.
3. Metropolitan Bushey Sports Club T/A Metropolitan Bushey may cancel if the event location is outside the service area.

9. Force Majeure

1. Neither party is liable for failure to perform obligations due to events beyond reasonable control.
2. Examples include industrial action, civil unrest, natural disasters, and transport disruption.

10. Invalidity

1. If any part of these terms is unenforceable, the remainder shall continue in full force.

11. Liability

1. The Client is responsible for all claims, damages, or costs arising from their breach.
2. Metropolitan Bushey Sports Club T/A Metropolitan Bushey accepts no responsibility for theft or damage to personal property.
3. Nothing excludes liability for death or personal injury caused by Metropolitan Bushey Sports Club T/A Metropolitan Bushey ’s negligence.

12. Governing Law

1. This agreement is governed by the laws of England and Wales.
2. Disputes may be referred to arbitration where applicable.

13. Entire Agreement

1. This agreement supersedes all previous arrangements.
2. No third party has rights under this agreement.
3. Minor changes may be made without notice; major changes require agreement.

14. Customer Service

1. If you have concerns, contact Metropolitan Police Bushey Sports Club Limited on 01923 243947.
2. We will work with you to reach a satisfactory resolution.

15. Data Protection

1. The Client is the Data Controller; Metropolitan Bushey Sports Club T/A Metropolitan Bushey is the Data Processor.
2. Metropolitan Bushey Sports Club T/A Metropolitan Bushey will comply with the Data Protection Act 2018.
3. Personal data will only be processed in accordance with The Client’s instructions.
